LU e-mail system webmails.lu.lv user guide (Roundcube)

 

1. Connecting

In order to connect the Latvian University e-mail, write a browser address webmails.lu.lv and fill out the required fields - username and password - and push the button "Piekrītu noteikumiem un pieslēdzos". Terms of use under the tab "Lietošanas noteikumi".

2. Interface customization

2.1. Block placements

If you feel that the list of folders on the left side is too wide, it can be narrowed by pulling it narrower (see Fig.). Likewise, you can stretch or shrink the preview and email list blocks (see Fig.). To stop working with the LU e-mail, press the button "Disconnect".

2.2. E-mail view

If you want to customize the e-mail list, press the shortcut tool (see Fig.).

As can be seen, it is possible to select which columns to show or hide the e-mail list, respectively, you can then also sort emails. In this example, here we have selected not to show e-mail in size and read status columns. When changes are ready press "Save".

Here's an e-mail list column appearance changed. It'ss still possible for them to be interchanged, simply swipe from side to side ("drag and drop").

3. E-mail folders

As you've already noticed, this e-mail system visually is closer to typical e-mail Client (such as Mozilla Thunderbird, Microsoft Outlook, and Outlook Express etc.), since the left side is always e-mail list of folders. This makes the work of sorting, searching and organization easier. Let's look at how to create a new e-mail folder.

Press the tool shortcuts in the bottom left corner of the page and select "Edit folders".

Now we see all of your e-mail list of folders. It is likely that all the folders are not marked, so if you want a specific email folder to be displayed in the starting folder list, click the appropriate check box in front of these folders. For example, in the list to mark the checkbox to the "Deleted Items" and "sent mail".

When folders are connected, an informational message flashes at the bottom of the page for 3 seconds.

To create a new folder, press the "+" sign at the bottom of the folder list and give it a title, select parent folder, if necessary, and press the button "Save".

4. Identities

To edit the identity, go to the "Personal Settings" section "Identity" (see Fig.). We see one default identity.

Clicking on the identities, you can edit the fields. Here, for example, we see that the name must be changed in the "preset name" field, so that they don't contain accented characters, as well as the email must be in form name.surname (name dot surname)

Change the fields where it's due. If this will be your main identity from which you want to send the most emails, select the box next to "Set as default".

If you prefer, you can also fill out the signature field that will be added to every e-mail that will be sent with this identity.

When you're done editing these parameters, click "Save".

To create a new identity, press the "+" sign on the bottom of identities block and fill in the required fields. When you're done, click "Save".

You have now established two identities for writing emails or responding to them, and you can choose from when you wish.

5. Change password

If you need to change the password, under "Personal settings" go to "Password". In the "Current Password" box, type the current password and in the fields "New password" and "new password again" - the new password which should be different from the current. Preferrably, the password should be at least 6 characters long, but it should not exceed 8 characters. Click "Save".

When successfully changed the password, you will need to connect to the e-mail system again.

6. Vacation (auto-reply)

You can set up automatic reply under "Personal settings", should you go, for example, on a short vacation and you feel that senders must be informed of your absence and possible delay of reply.

Choose one of the three "Subject" field styles.

Select the domain from which it will respond. We recommend that you leave lu.lv

Write a message, which will be sent.

In the calendar select the date until which you want to use the automatic answering service.

Click "Save".

Automatic answer installed. This takes usually 10-30 minutes, until it becomes operational.

If you want to cancel the automatic answering, under "personal settings" in the section "Vacation" next to automatical response press the button "Delete".

7. Filters

Like we sometimes for convenience use a variety of identity and e-mail folders, also the filters may come to the rescue, and they can help your incoming email adjustment process automation.

Filling the fields under "personal settings" in "Filters", you can create numerous conditions for moving e-mail. For example, if you choose type "To", in the "contains" field type the address X and in "Move to" choose the folder, then all the next e-mails, whose "To" field shall contain e-mail X, will be automatically moved to the desired folder.

These conditions (filters) can be deleted.

8. E-mail folder size

You can specify your e-mail folder size in megabytes at which the notice is received on the achievement or exceedance fact.

Izvēlieties "Yes" pie "Alert when is reached the max size in inbox folder" (ziņot, kad sasniegts inbox mapes maks. izmērs). Ierakstiet 100 (megabaitos) laukā "Size max of inbox folder" (inbox mapes maks. izmērs). Spiediet "saglabāt".

Select "Yes" to the "Alert When is reached the max size in the inbox folder" (report when reached inbox folders max. size). Type 100 (in megabytes) in the field "Size max of inbox folder" (inbox folders max. size). Click "save".

9. Settings

Let's look at some of the most important setting parameters associated with e-mail browsing behavior and user interface customization.

9.1. User interface

One thing which is looked different among users, is the date formatting. Respectively, if the date formatting is ON, then the e-mails received in last seven days in the e-mail list window are being formatted. To disengage it, go to "Personal Settings", "Settings", "User Interface".

Remove the check box "Format date". If you want to change the way the colors and the overall design look, then select from the "Interface appearance." Click "Save".

9.2. Mailbox view

It is possible to change the e-mail list look. For example, a typical e-mail client program behavior could be that the e-mail is marked as read after 5 seconds instead of instantly. Secondly, perhaps it is more convenient if more than 50 e-mails are displayed at once. Enter, for example, 100 and click "Save".

9.3. Composing messages

We recommend to use more traditional option "start a new e-mail on top of the original". And remember to press "save" at the bottom.

9.4. Special folders

It is worth paying attention to special folders, ie folders which are used in typical cases. Drafts under "drafts" folder, sent letters in the "Sent" folder, Spam - "Spam" folder, in turn, trash for "trash" folder etc. All the folder functions are clear from their names.

9.5. Server settings

Note that these are just suggestions, but draw your attention to the maintenance operations which the server can do for you.

For example, if you also use another e-mail client program (such as Microsoft Outlook, Thunderbird), then it may happen that an e-mail which has been deleted in the other program is still displayed here. To hide it, select the check box next to "Do not show deleted messages."

If you want to, you can clean up all the e-mail folders "Trash" ("trash") upon exiting, check the box next to "clean the trash when exiting."

If you want to have all marked for deletion of e-mails to be deleted, leaving the webmails system, select the check box next to "delete messages when exiting."

Confirm changes with "Save".

10. Address book

University e-mail users are offered two address books - personal and that of University staff. You can not make changes in University employees in the address book, but in your own - as you please. To open the Address Book, click on the tab "Address Book." Let's make some changes in personal address book, make sure that it is currently active.

Click the "+" sgn at the bottom of the "Contacts" block to beging composing a new address book entry. Fill the name and surname fields at least. Click "Save" when finished.

Entry has been made, we see a notification in the toolbar at the bootom of the page.

Kontaktus var arī meklēt. Ierakstiet meklēšanas laukā, piemēram, "Kalniņš" un nospiediet uz klaviatūras taustiņu [ENTER]. E-pasta sistēma atrod visus ierakstus gan personīgajā, gan LU darbinieku adrešu grāmatā.

You can create a new contacts group to increase the grouping possibilities. To create a new contacts group click "+" sign at the bottom of "Groups" block and give it a name.

Notice that each new group is created as a sub-group to your personal address book. When a new contact is created it is put into currently active address book or its sub-group.

11. Working with e-mail

11.1. Composing new e-mail

To start composing a new e-mail click "Compose new message".

As we discussed in the "Identities" chapter, you can create multiple identities and set the desired as default. And here, composing a new e-mail, in the "from" field the default one is displayed. Click on that menu to change it as desired.

Compose the e-mail. As you might have noticed, the signature was attached if it was created within the chosen identity.

Entering addressees happens the same way as in common e-mail clients. You can add up to 100 addresses but they must be separated with comma and space. Also, you can double-click on a contact group and it will be automatically added to the adressees list.

Don't forget to give your e-mail a subject.

To attach a file, click "Attach".

Browse for a file (press and hold [CTRL] key to select multiple items). When files are selected, click "Open".

To start the attaching, press "upload".

When files are added and everything is ready, press "Send message".

At this moment we add "BCC" field - in this case, to send a copy to our own address. In the essence you can enter e-mail addresses in BCC field to which you want to send the e-mail but you do not wish to display them among addressees. For example, if you send an e-mail to both John an George, but you do not wish that John finds out there's George among the recipients, you put the George's address into the BCC field while John's address remains in the "TO" field.

11.2. Reply to an e-mail

When there's an unread mail in some e-mail folder, there's a visual notification with the number of such unread e-mails. In the e-mail list, as usual, we see the sender, date, size etc. You can sort ascending or descending by clicking the respective column title.

To get more information about recipients and priority settings, click the arrow symbol. If you wish to take actions with the attachments, right-click the item and select the desired action (the list and the placement of available actions may differ depending on your browser).

Šajā e-pasta sistēmā var radināties pie sajūtas, ka dažnedažādas papildus iespējas ir pieejamas, uzklikšķinot ar labo peles taustiņu uz ekrāna, piemēram, uz e-pasta. Izvēlamies pārvietot vienu (var arī vairākus vienlaicīgi) e-pastu uz citu mapi.

Lai atbildētu uz e-pastu, spiežam "Reply" (ja atbildi rakstīsim tikai sūtītājam) vai "Atbildēt visiem" (ja atbildi saņemt paredzēts ir visiem sarakstes dalībniekiem).

Take into account that there's also "drag'n'drop" available. This way you can drag (move) the e-mails among the folders to your preference.
